The Role

Reporting to the Operations Director, you will contribute to campaign delivery across a portfolio of Jellyfish clients and support wider Agency operations. Working within your assigned hub you will support the business in achieving its vision for creating the ‘Biggest Boutique Agency in the world’ through efficient administration of our business practices, frameworks and processes.


Support and improve the overall smooth running of assigned campaigns and Agency deliverables by providing exemplary administrative support across Jellyfish business practices, maintaining and improving levels of efficiency and supporting client centricity, including…


  • Organising and confirming client huddles as per campaign schedule.
  • Organising and confirming scheduled weekly, fortnightly or monthly client calls, notes, contact reports.
  • Scheduling client meetings as well as reviewing the Jellyfish delivery team’s calendars and liaising with clients to also ensure their availability.
  • Organise and manage hub meeting schedules
  • File management of key campaign documentation
  • Travel, hospitality planning and organisation.
  • Manage and share weekly updates to keep the hub / Agency informed of activity / deliverables affecting the hub or the business
  • Support all communication relating to Agency and UK Marketing initiatives, updates and new / revised processes through teams
  • Support all business tools to ensure they are working effectively and efficiently.
  • Facilitate the Agencies Operational Calendar to provide prompts, manage key actions, set reminders and schedules across the agency teams
  • Support effective business practises and business intelligence reports. (i.e. new client onboarding and client satisfaction surveys)
  • Understand and facilitate efficient Jellyfish internal working process / workflow and maintain relevant cross departmental interdependencies.
  • Carrying out ad-hoc background research and presenting findings to Client Services team / hub
  • Support the UK Operations Director in miscellaneous tasks relating to managing staff environmental requirements, including IT hardware and software requirements, incorporating staff location needs and mobile phone allocation.

Experience Required

  • Substantial experience in administration / operations management; ideally within a marketing or sales environment.

Skill Requirements

  • Ability to accurately present results and deal with enquiries both internally and externally
  • Computer literate, with experience in Microsoft office products (Word and Excel) and Google Suite products (Docs, Sheets, Slides)
  • Excellent written and verbal presentation and communication skills
  • Ability to work in a fast paced, dynamic environment.
  • Demonstrates a structured and methodical way of working, with the ability to cope with numerous competing demands and effectively prioritise tasks.
  • Native and fluent translation skills (not essential)
